Reminders And Alerts Are A Must For Businesses

When you run a business that requires you to share information with others it can be an overwhelming task to keep all of the reminders and alerts in your head, much less make sure that the relevant information gets to all of the sources.

For this reason, if your business is responsible for informing people of different things at different times you will definitely want to use automated reminders and alerts. There are many different programs that will allow you to do this, sending out a message or alert to just a handful of people or tens of thousands of people.

Reasons to Consider Automated Reminders and Alerts

When you put automated reminds and alert systems to use for you, you will be able to reach more people in less time. This allows you to concentrate on other aspects of your job instead of worrying about sending one message at a time.

Whether you run a huge company or a company with just a few employees and customers you simply don't have the time to send individual messages and alerts. Allowing an automated messaging system to do the work for you simply makes sense.

Other businesses choose these systems because they reduce the administrative and labor costs that are associated with calling and emailing people. When you have an automated system you simply tell them system what to send and when and it's done. You don't need to take on the task and you certainly don't need to pay anyone else over time to get the job done.

Having one of these systems also allows for you to easily store and track all of the messages and alerts that you have sent to the people on your list. Most of the systems out there allow for you to store messages and alerts for up to six months, which means that you will be able to look back at old messages and call upon the information if you should need it in the future.

This is a really handy feature and not something that you may think to do when you are doing all of the work yourself. The storage process will also help your business maintain accurate contact records, which is hard to do on your own.

A huge benefit of using one of these systems is that your employees or customers will thank you. You can usually send these messages and alerts to several different sources such as email, voice mail, fax, and SMS. This will allow you to give your contacts the choice of how they would like to be contacted, which most people like. Choice is always good and offering your customers or employees options will make them feel more connected to you.

If you have been manually sending alerts and messages it's time to make your system more efficient. Choose one of the alerts and messaging providers that work best for you.

Retire The Fax Machine: Online Fax Services Work

Anyone that has ever used a fax machine has felt frustrated, aggravated, and simply ticked off at their fax machine at least once, if not countless times. If you have had it with your fax machine because it is yet again not working, why not just allow it to retire? In fact, if the mood strikes you can go ahead and throw it out the window like you have always fantasized about.

Online fax services work so much better because there is no need to worry about the logistics of the fax machine, paper, toner, and a dedicated phone line. Instead, if you have an internet service provider and the need to fax you have everything that you need to start utilizing this much more efficient fax service.

Benefits of an Online Fax Service

The most obvious benefit is that you will not have to deal with that awful machine that you curse every time you pass. Instead, you can clear the machine out of your office completely and make way for something else to put in its space. That means no more fax paper, no more toner, no dedicated phone line. You can do away with all of these things because if you have a computer you have everything that you need to receive your faxes in a much more efficient manner.

Another benefit is that you will no longer lose those faxes. Everyone has had that experience where the fax comes in, you pull it off the machine, you put it down somewhere and when you come back to reference it, it's gone! This is really frustrating and can cause the most composed professional to totally lose it.

With online faxing you receive an electronic document that is usually saved with the service that you use or write on your hard drive so you will be able to reference it later. Many people find that they use a lot less paper when they change to online faxes because the majority of faxes they don't even need to print them out as the electronic document is sufficient.

Other people like this way of faxing because it is simpler to send a fax. Many times you will be able to simply type something out and fax it, no need to type it up, print it out, and then fax it. It simply saves a lot of time and energy when you don't have to deal with a fax machine. Many people are concerned about the cost of these services, but at the end of the day they are usually more affordable because you aren't paying for the upkeep of a machine or the supplies for it.

Online fax services simply make more sense for the average business. They are less time consuming, more affordable, and simply more efficient than the prehistoric fax machines that none of us liked anyway. There are many different services out there to choose from, allowing for everyone to choose the one that will work for them the very best.

Video Conferencing Makes Doing Business Easier

Twenty years ago no one would have ever dreamt of something as sophisticated as video conferencing, but today this is a really convenient way to do business. More and more businesses are taking advantage of this high tech ability to do business even if they are half a world away from one another. When you have the need to speak with people from other offices, even if they are in different parts of the world, video conferencing makes it simple and straightforward.

Benefits of Video Conferencing

Many businesses have adopted video conferencing because they believe that it actually increases production. When people are able to meet face to face in their respective offices or locations and brainstorm or simply see eye to eye on topics it will energize everyone involved in any given project, which generally results in more productivity. This is something that more businesses are picking up and they like the increase in productivity so much that they are willing to continue the video conferences for that benefit alone.

Another aspect that a lot of corporations like about video conferencing is that it can actually save money. The reason for this is that people from different offices no longer need to be in the same geographical location to get things done together. Instead employees can meet and discuss things, even share physical progress on projects because they are linked via video. Video conferencing is much more economical than flying several employees to another location, paying for lodging and food. This is simply a more efficient means of communication.

One more benefit of video conferencing that cannot be overlooked is that it actually saves time. Sounds odd, but when you consider that employees will no longer need to spend work time traveling, there is time to be maximized. Employees will have a lot less travel time, which is usually time that cannot be utilized, and so more will be able to get done in less time. This goes hand in hand with saving money and an increase in productivity, since there will be more time to get things done in.

Video conferencing is relatively new to the world of business but it works. There are many different services that will provide video conferencing capabilities to businesses, whether they need the service once a month or once a day. Shop around a bit to see what is out there and how video conferencing can benefit your business. You'll likely be impressed at how easy it is to set up these services and put them to use for your company. It doesn't matter what industry you're involved in, chances are that you can use video conferencing services to build a better business.

So the basic idea and value proposition remains sound. You have to make sure that not just are you convinced of this value, but also you are in a position to harness the tremendous business potential of conferencing.

Though that sounds easy, it may not really be all that easy.

Tips For Building Your Own PC, Part 1

have never purchased a brand name computer for my home or business use. By building my own PC, I can get exactly what I want, at a very reasonable price. Read on for tips on building your own PC.

First decide what you want for your new PC. I usually pick the type, brand and speed of the CPU I want first (i.e. 2Ghz AMD, 2.6Ghz Intel, etc.) and then I build the rest of the computer around that. The following should help you decide what parts to buy. I usually buy parts from reputable online retailers, and even eBay.

Case

You will need something to install all the parts of the computer in. Although picking out a case usually boils down to what you think looks good, there are several other things to keep in mind.

* Does the case come with a power supply. If not, you will have to buy one separately.
* Make sure it can hold the size of the motherboard you are buying (see the Motherboard section below).
* Does it come with sufficient bays to hold your hard drive(s) and DVD/CD ROM.
* Does if have sufficient cooling, or space to add additional cooling.
* Do you have room in your office area for the physical size of the case. There are usually several different sizes you can choose from: Full tower, mid tower, mini tower, desktop, etc.
* Are the controls, buttons and external jacks easily accessible.

Processor

The processor (CPU) is the brain of your computer. You want to try and get the most you can for the money you want to spend. Take some time to browse the major brands (namely, AMD and Intel). The price of the processor will go up as the speed goes up. Processor speed (the clock speed) is measured in gigahertz (GHz). There are actually many other factors that determine the speed of the CPU, but these discussions are beyond the scope of this document. CPU distributors usually sell processors in a package that includes a heatsink and a fan. THIS IS VERY IMPORTANT! Make sure the CPU you are purchasing includes these two items. Also take note of the socket type of the CPU you are purchasing, this will become important when you are picking out motherboards.

Motherboards

A motherboard (systemboard) is the big circuit board that all the other parts plug into. If the CPU is the brain of your computer, then the motherboard is the spinal cord. Remember when you were picking out CPU’s and I said to take note of the socket type? Well this is where that becomes important. You need to make sure that the CPU you bought will fit into the motherboard you are about to pick out. Manufacturers of both CPU’s and motherboards usually make this pretty easy. If you are buying your computer parts from an online retailer, they should have a “specifications” section that will tell you what you need to know. Motherboard specifications should list the socket type, which need to correspond with the socket type of your CPU. Usually the motherboard specifications also break it down into the CPU make and model that will fit into it. You can also go onto the AMD and Intel sites and do a search for the CPU you are buying, the results usually include which motherboards are supported by each particular CPU.

You will need to decide what features of your computer will be included “on-board” on your motherboard, and which ones you will have to buy separately. This includes sound, video, disk controllers, network connectivity, etc. Whatever is not included on the motherboard, will have to be purchased and installed separately. Make sure you read the motherboard specifications carefully to make sure it has all the features you need. We will be discussing these other “add-ons” in later articles.

That’s it for Part 1. Keep an eye out for Part 2 where we will continue discussing parts that will need to be purchased, and in following publications, discuss putting it all together.
